I have phoned two hotels that my employer uses for international 
visitors and that have meeting room facilities.

The results are not very encouraging (price-wise).

Hotel Mitland, which is on the outskirts of Utrecht, offers the following:

Meeting room for up to 20 people: E 37.50 per person per day.
Rooms: E 100 per day (2003 prices).

The manager indicated that for a week an arrangement could come out 
cheaper, but he couldn't name specific prices for 2005.

Hotel Best Western Amrath, which is right in the center of Utrecht:

Meeting room for up to 35 people (don't have smaller) plus room rate: E 
190 per person per day (2004 prices).

Obviously, I have never done this :-(  I didn't know the prices in Las 
Vegas were so competitive ...

It's clear that this is so expensive because we need a meeting room; if 
I could convince my employer to offer us the meeting facilities, things 
would be simpler, because KNMI is reachable quite well from the city of 
Utrecht (20 minutes by bus).

However, unless we meet in the middle of the summer vacation period, 
claiming one of the meeting rooms for a whole week (even as far in 
advance as we are) will be challenging ...
