Just to answer the travel point, flying to Birmingham and then taking the t=
rain is the easiest solution. If you book a taxi from the airport to the un=

You're right that these are teaching rooms, but I am afraid that moving int=
o term time rather limits what is available. None of the furniture is fixed=
 down so it can be reconfigured to have people facing each other but I know=
 that it isn't as good a solution as a proper conference facility would be.

I don't have very much more room for maneuver on the rooms since it is quit=
e hard to get four rooms that are at all close together and about the right=
 size in term time. I've done preliminary reservations on those rooms and c=
an hold them for a couple of weeks, so I think that that has to represent t=
he best that I can offer at Warwick. If the overall consensus is that LBL w=
ould be better then I'll release the reservations and if there is interest =
in moving back out of the US in 2026 then I can probably get something a bi=
t more conference-centre-ish together for then.

I don't think the general WG5 or J3 list saw this.


24 people is probably workable for the "plenary" room, 14-16 for the breako=
ut rooms is plenty.  However, looking at the videos it seems that each of t=
hese rooms are set up for lectures (unsurprisingly), and it's not clear if =
we could reconfigure the tables so that we could see each other, as the tab=
les are attached to one wall.


I think the June 23 week would work better.

I've talked to some people and I have managed to find four suitable rooms i=
n the week starting the 23rd June 2025, so I could offer the same basic pla=
ns in that week if this date would be better for people? The only limitatio=
n is that the largest room that I've been able to get is for 24 people, and=
 the other three rooms are for 14, 14 and 16 people. If these numbers (or a=
nything else) look like they will be a problem then I'm afraid that I am ha=
ppy to withdraw and offer to host in 2026.

Thanks to UK for offering to host us; I'm supportive of preserving US - non=
-US pattern as it would help strengthening engagements from all NBs.

I'd note that the first week in the list would overlap with a US holiday (I=
ndependence day).

I have potential conflicts with the late July and early August dates; Also =

Hello. As Nathan mentioned on Tuesday, I have been looking at getting thing=
s sorted so that we can offer to host it at Warwick University. I've manage=
d to get approval for us to host it with a few (I hope minor) caveats if pe=
ople are interested. Basically the restrictions are


    Warwick does have some lovely conference facilities, but on this notice=
, I can't put enough money on the budget for booking them. We'd have to use=
 rooms in one of the academic departments. I've managed to get "in principl=
e" reservation for up to 4 suitably sized rooms in the brand new, award win=
ning Faculty of Arts building. All of the rooms have projectors, good netwo=
rk facilities and built in presenter computers. We can get USB connected vi=
deo conferencing gear, so there shouldn't be any problems with video links,=
 but there isn't a dedicated video conferencing suite. We do have public wi=
reless internet available to anyone on site.

2.                  Because of having to use teaching rooms it would have t=
o be one of the following weeks
30th June to 4th July
7th July to 11th July
28th July to 1st August
4th August to 8th August
11th August to 15th August
18th August to 22nd August
25th August to 29th August
1st September to 5th September
8th September to 12th September



The two missing weeks in July are graduation, so if they are the only possi=
ble dates for people then they are available, but they would need people to=
 book hotel rooms etc. early because of how busy the campus gets. Given how=
 things work at Warwick, the week of the 7th July would be simplest, but if=
 people are interested in this suggestion in general then I could put out a=
 poll for people to select when would be best. It would be best if I booked=
 rooms etc. by early-ish in January, but this isn't a terribly fast timesca=
le.



    We can provide all of the usual features like coffees, lunches etc. and=
 we will able to offer a conference dinner included as well. I know that so=
me people have rules that they have to work within on accepting hospitality=
 etc. and we can take payment for the conference dinners separately in thes=
e cases.

    We can provide rooms in the on campus conference accommodation blocks w=
here we should be able to offer an "internal" discount code that will give =
you B&B prices of =A355 for single rooms and =A370 for double/twin rooms. T=
hese are our conference centre rooms, not the student halls and I believe t=
hat it includes parking costs. We can help people with booking into other h=
otels if they want and there are several within easy travelling distance of=
 the university, but we can't block book any of them because our policy is =
to only offer off campus accommodation if we can't offer on campus. If peop=
le do want to stay off campus then there are good transport links to campus=
 by bus, taxi and car. There is a charge for parking on campus, but it can =
be booked in advance online, or paid on the day by phone or parking app.

5.                  While Warwick is a campus university and offers all of =
the usual facilities like restaurants, a sports centre and a small supermar=
ket, it is also a ten minute bus ride from either Coventry or Kenilworth, s=
o you are not dependent on the facilities on campus.

Just to answer the travel point, flying to Birmingham and then taking the t=
rain is the easiest solution. If you book a taxi from the airport to the un=

You're right that these are teaching rooms, but I am afraid that moving int=
o term time rather limits what is available. None of the furniture is fixed=
 down so it can be reconfigured to have people facing each other but I know=
 that it isn't as good a solution

I don't have very much more room for maneuver on the rooms since it is quit=
e hard to get four rooms that are at all close together and about the right=
 size in term time. I've done preliminary reservations on those rooms and c=
an hold them for a couple of weeks,
 so I think that that has to represent the best that I can offer at Warwick=
. If the overall consensus is that LBL would be better then I'll release th=
e reservations and if there is interest in moving back out of the US in 202=
6 then I can probably get something

I've&nbsp;talked to some people and I have managed to find four suitable ro=
oms in the week starting the 23rd June 2025, so I could offer the same basi=
c plans in that week if this date would be better for people? The only limi=
tation is that the largest room that

Thanks to UK for offering to host us; I'm supportive of preserving US - non=
-US pattern as it would help strengthening engagements from all NBs.<br>

I'd note that the first week in the list would overlap with a US holiday (I=
ndependence day).<br>

I have potential conflicts with the late July and early August dates; Also =
early August is back to school for us and I'd very much like to avoid trave=
ling.<br>

Is the earlier week in June that Steve originally proposed for Berkeley (we=
ek of June 23) simply not available?<br>

Hello. As Nathan mentioned on Tuesday, I have been looking at getting thing=
s sorted so that we can offer to host it at Warwick University. I've manage=
d to get approval for us to host it with a few (I hope minor) caveats if pe=
ople are interested. Basically the
 restrictions are<br>

&nbsp;&nbsp;&nbsp; Warwick does have some lovely conference facilities, but=
 on this notice, I can't put enough money on the budget for booking them. W=
e'd have to use rooms in one of the academic departments. I've managed to g=
et &quot;in principle&quot; reservation for up to 4 suitably
 sized rooms in the brand new, award winning Faculty of Arts building. All =
of the rooms have projectors, good network facilities and built in presente=
r computers. We can get USB connected video conferencing gear, so there sho=
uldn't be any problems with video
 links, but there isn't a dedicated video conferencing suite. We do have pu=
blic wireless internet available to anyone on site.<br>

2.&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&=
nbsp;&nbsp;&nbsp;&nbsp;&nbsp; Because of having to use teaching rooms it wo=
uld have to be one of the following weeks<br>

The two missing weeks in July are graduation, so if they are the only possi=
ble dates for people then they are available, but they would need people to=
 book hotel rooms etc. early because of how busy the campus gets. Given how=
 things work at Warwick, the week
 of the 7th July would be simplest, but if people are interested in this su=
ggestion in general then I could put out a poll for people to select when w=
ould be best. It would be best if I booked rooms etc. by early-ish in Janua=
ry, but this isn't a terribly fast
 timescale.<br>

&nbsp;&nbsp;&nbsp; We can provide all of the usual features like coffees, l=
unches etc. and we will able to offer a conference dinner included as well.=
 I know that some people have rules that they have to work within on accept=
ing hospitality etc. and we can take payment for
 the conference dinners separately in these cases.<br>
<br>
&nbsp;&nbsp;&nbsp; We can provide rooms in the on campus conference accommo=
dation blocks where we should be able to offer an &quot;internal&quot; disc=
ount code that will give you B&amp;B prices of =A355 for single rooms and =
=A370 for double/twin rooms. These are our conference centre rooms,
 not the student halls and I believe that it includes parking costs. We can=
 help people with booking into other hotels if they want and there are seve=
ral within easy travelling distance of the university, but we can't block b=
ook any of them because our policy
 is to only offer off campus accommodation if we can't offer on campus. If =
people do want to stay off campus then there are good transport links to ca=
mpus by bus, taxi and car. There is a charge for parking on campus, but it =
can be booked in advance online,
 or paid on the day by phone or parking app.<br>

5.&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&=
nbsp;&nbsp;&nbsp;&nbsp;&nbsp; While Warwick is a campus university and offe=
rs all of the usual facilities like restaurants, a sports centre and a smal=
l supermarket, it is also a ten minute bus ride from either Coventry or Ken=
ilworth, so you are not dependent on the facilities
 on campus.<br>
