The issue here is that you're not a member of the J3 list - I've added 
you there as an acceptable sender. I'm unsure what the WG5 list is doing 
(it uses the J3 list as a subset.)

It looks as if one flies to Birmingham (BHX) and takes a train to 
Coventry - is that right?

I'd appreciate more responses from possible attendees as to whether 
they'd rather meet at Warwick (Coventry) than Berkeley for this next 
meeting. I understand it is now the weekend, so let's try to have this 
sorted by the 12th.

            I've talked to some people and I have managed to find four
            suitable rooms in the week starting the 23rd June 2025, so I
            could offer the same basic plans in that week if this date
            would be better for people? The only limitation is that the
            largest room that I've been able to get is for 24 people,
            and the other three rooms are for 14, 14 and 16 people. If
            these numbers (or anything else) look like they will be a
            problem then I'm afraid that I am happy to withdraw and
            offer to host in 2026.</div>

              preserving US - non-US pattern as it would help
              strengthening engagements from all NBs.<br>

              I'd note that the first week in the list would overlap
              with a US holiday (Independence day).<br>

              August dates; Also early August is back to school for us
              and I'd very much like to avoid traveling.<br>

                Hello. As Nathan mentioned on Tuesday, I have been
                looking at getting things sorted so that we can offer to
                host it at Warwick University. I've managed to get
                approval for us to host it with a few (I hope minor)
                caveats if people are interested. Basically the
                restrictions are<br>
                <br>
                <br>
                    Warwick does have some lovely conference facilities,
                but on this notice, I can't put enough money on the
                budget for booking them. We'd have to use rooms in one
                of the academic departments. I've managed to get "in
                principle" reservation for up to 4 suitably sized rooms
                in the brand new, award winning Faculty of Arts
                building. All of the rooms have projectors, good network
                facilities and built in presenter computers. We can get
                USB connected video conferencing gear, so there
                shouldn't be any problems with video links, but there
                isn't a dedicated video conferencing suite. We do have
                public wireless internet available to anyone on site.<br>

                2.                  Because of having to use teaching
                rooms it would have to be one of the following weeks<br>
                30th June to 4th July<br>
                7th July to 11th July<br>
                28th July to 1st August<br>
                4th August to 8th August<br>
                11th August to 15th August<br>
                18th August to 22nd August<br>
                25th August to 29th August<br>
                1st September to 5th September<br>
                8th September to 12th September<br>

                The two missing weeks in July are graduation, so if they
                are the only possible dates for people then they are
                available, but they would need people to book hotel
                rooms etc. early because of how busy the campus gets.
                Given how things work at Warwick, the week of the 7th
                July would be simplest, but if people are interested in
                this suggestion in general then I could put out a poll
                for people to select when would be best. It would be
                best if I booked rooms etc. by early-ish in January, but
                this isn't a terribly fast timescale.<br>

                    We can provide all of the usual features like
                coffees, lunches etc. and we will able to offer a
                conference dinner included as well. I know that some
                people have rules that they have to work within on
                accepting hospitality etc. and we can take payment for
                the conference dinners separately in these cases.<br>
                <br>
                    We can provide rooms in the on campus conference
                accommodation blocks where we should be able to offer an
                "internal" discount code that will give you B&amp;B
                prices of £55 for single rooms and £70 for double/twin
                rooms. These are our conference centre rooms, not the
                student halls and I believe that it includes parking
                costs. We can help people with booking into other hotels
                if they want and there are several within easy
                travelling distance of the university, but we can't
                block book any of them because our policy is to only
                offer off campus accommodation if we can't offer on
                campus. If people do want to stay off campus then there
                are good transport links to campus by bus, taxi and car.
                There is a charge for parking on campus, but it can be
                booked in advance online, or paid on the day by phone or
                parking app.<br>

                5.                  While Warwick is a campus university
                and offers all of the usual facilities like restaurants,
                a sports centre and a small supermarket, it is also a
                ten minute bus ride from either Coventry or Kenilworth,
                so you are not dependent on the facilities on campus.<br>
